Describe how Opus1 has helped you better manage and grow your school?

Christopher Luis-Jorge: Everyone, my name is Christopher Louis Jorge, and I’m a studio manager at a music school in Washington DC called 7DrumCity. We back in in January made the complete jump to Opus1 from our old software, and it has been a real boon for us. We’ve been really benefiting from the uh. Uh, from the features that Opus1 offers us, uh, specifically, I think about how before Opus, my days began with opening up our emails and every single day we were responding to the same kind of questions related to rescheduling and helping our students to, to coordinate their schedules, to do makeup lessons, asking about teacher availability and so forth. And the thing that was just so demoralizing about that at the time was how rote. That kind of thing was um. The answers were some variation of the same kind of thing, but required a human touch to provide the necessary context so the student can have the time that they needed. But one of the things I’ve really valued about Opus1 is the emphasis on student autonomy. Um, we’ve been able to configure it in such a way that our teachers’ time, our time is protected, the students don’t have full reign to Schedule themselves for silly hours or create these massive gaps or anything in our teacher schedules, but it has given the students the ability to take the reins for themselves. And in doing so, the most obvious way in which it has affected us is now when I log in for the start of the day and check our emails, um, I no longer feel an impending sense of dread. I didn’t know the dread was there, but it was, and Opus1 has really made that a lot easier. We also use our space, uh, as a rehearsal space and while I recognize that Opus1 isn’t necessarily constructed with the rehearsal space in mind, um, it’s adaptability to work for a rehearsal space has been a really nice side effect of moving to Opus1. Uh, the same sort of benefits occur there too. Uh, no longer are we micromanaging all of the nitty gritty scheduling stuff, who’s going to be in what room at what time? The tools that Opus1 provides has made that significantly easier for all of us. Uh, and it’s been a really good experience. It’s made things a lot easier, um, in doing so. It’s helped the same people who have been here the whole time, uh, free up our minds to think about other projects. We’ve been growing since we’ve switched to Opus1 and the reduced cognitive load that we’ve all, been enjoying as a product of switching to Opus1 has been a godsend, to be quite frank, uh, the same amount of people are now doing more work. Um, and that sounds, and I don’t mean that in the like, oh, we’re a 5 person team doing the work of 10 people. I mean to say that there was this task, there were these, these series of tasks that every single workday. Just occupied our minds and prevented us from. Uh, from really doing what we wanted to do. This is a music studio. Everyone who works here, myself included, are musicians, we engage in art and varying forms. Um, I would consider myself a creative person, and I think the rest of our team would similarly consider themselves creative people by using Opus1 by switching from our old software, or scheduling software. It has allowed us to Be more creative, to have our minds free so that we can think about higher order concerns. Uh, I think our students have also been responding to it very well too. They, uh, I mean, obviously, they’re able to reschedule for themselves, which is, which helps us, uh, but we’ve been noticing a lot of students have been feeling more in control, more empowered to. to be involved in their uh in their own lessons management. Another feature that I really like too is the sort of student hierarchy system that Opus provides, in which parents can assign. Uh, their children as dependents under a larger umbrella. Uh, that’s been extremely helpful in keeping straight, some of the more nuanced situations. Uh, for instance, we do have students who are divorced, uh, and having them, having them, structured in such a way has made things a lot easier for us, for them.

What would you tell someone who is thinking about trying Opus1?

Christopher Luis-Jorge: I would encourage someone who’s interested in Opus1 to give it a try for sure. Uh, I would mention that Opus1 appears to be a youthful software. Is that safe to say, in the sense that I, I feel that you have, they have a lot of potential and a lot of really strong customer support. Um, we’ve only implemented Opus for a few months now, and in that time span we’ve seen requests we’ve made. Uh, become features in the software, and it creates this impression at least of a very dynamic and constantly growing. sort of digital ecosystem, uh, and um it’s such a, it’s just it’s very flexible, it’s very flexible and its potential is is yet to be completely realized. Uh, so I would encourage people to give it a shot, uh, see what you like about it, and there’s something that you feel is missing. In my experience, Opus1 has been listening and takes it very seriously. Uh, I’ve seen these missing features get added as soon as the email has been sent, so, um, you provide a lot of support, and I would, I would mention to a person who’s interested in Opus1, just the, the unusual level of support that you all provide.

What did you use before Opus1 and what’s better about Opus1?

Christopher Luis-Jorge: Prior to using Opus1, we were using Mind Body. um, and Mind Body was fine. It was fine. The problems though are are baked pretty deeply into the software. Mind Body was constructed to be a management tool for yoga studios, and there are certain intrinsic assumptions that went into it, that when we translate it into a music school context. Uh, created a lot of problems that were that were tricky, they were very nuanced to fix. For instance, though I recognize there are different schools and practices of yoga, uh, there are different skill levels as well. The differences between these things are not quite as significant as the difference between. The drum The bass guitar, the electric bass, and singing. Uh, so having a software that can appreciate that we have a teacher, yes, but this teacher has X, Y, or Z instruments under their belt, they’re comfortable teaching these things, um, and to really honor the difference between. These these different instruments has simplified a lot of things uh with running a music school. That’s significantly better. Uh, not to mention the fact that Opus allows for a lot more hands on, uh, customer interaction with their own scheduling has reduced the workload for us. We are no longer answering the same frequency of questions that we would used to get every single day, uh. Parents feel more aware of their own students schedules, which is fantastic that we weren’t seeing that in Mind Body, um students feel more empowered to reschedule, they seem more aware of how many makeup credits they have, things like that. It’s a really simplified the equation for us considerably.

Describe how Opus1 has helped you better manage and grow your school?

Katherine Knight: Using Opus1 has really helped me to grow and to manage my studio. I love that all of my clients’ information is in one place for our group classes, for our lessons, and it makes it very easy to communicate with the families, be in touch with them right from one platform. We can click on their phone number to text them without having to type in a phone number. We can click on their email to send them an email. We can pull up their account while we’re on the phone with them, see everything that has been going on, and really show that we are in the know about their students enrollments, their payments, and everything else. Another thing that I really like about Opus are the reports. I have definitely enjoyed using the conversion and their retention reports, and these are reports that I haven’t found in other programs to be completely accurate. I can pull up a conversion report, look at who is signing up for a trial and did they actually enroll? And I could also look at individual teachers who’s having the best conversion rate and what are they doing to get that there? Who has the best retention rate and then use them. To get their ideas and talk to our other teachers about what ideas they can implement to make that happen, and I couldn’t do all of that if I didn’t have the really easy to pull reports, and that is something that has really made a big difference in my studio to help hone in on where do we need to work, what is working, what do we need to change.

What would you tell someone who is thinking about trying Opus1?

Katherine Knight: It was a bit overwhelming when I was trying to figure out if I wanted to switch to Opus1 for my management system. Uh, and it really wasn’t until I was all the way in it that I realized just how many features there are. And the best way to really figure that out is to utilize all of their help, all of their videos. Uh, all the meetings that you can schedule and find out everything that Opus can do because it’s, it’s way beyond what I thought it was going to be. I knew it was going to be good. I knew it was going to solve some of my problems that I had with previous systems using two systems at once. So I knew having one system was going to be, uh, a big change and a big help. But I didn’t realize just all of the intricacies that are gonna help be able to tag certain clients that you want to send out follow up email and all the customization that can be done. And additionally, all of the support and help that you get from Opus1, they are so ready to help you make themselves available, follow up with you, and I’ve never had any other system provide that much support.

What did you use before Opus1 and what’s better about Opus1?

Katherine Knight: I have used several different enrollment systems throughout the years in the 22 years that I’ve run a music studio. Some of them were Mind Body, MyMusicStaff, My Virtuoso, uh, that’s just to name a few. I’ve used quite a few trying to find the right fit. The thing that I really like about Opus1 is that it handles group classes as well as private lessons, as well as events like recitals and camps and one-off events. With ease, all in one system. I have been in situations where I’ve used two different systems at the same time, one for private lessons, one for group classes, and that was just a lot to maintain to have my client list doubled, to have all their credit card information in two different places or running their credit card information in one system, but their enrollments in the other. It’s been all very, very complicated. So, Opus1 takes that complication out. It handles everything with ease, and you can customize the way you have everything set up, so your makeups can be done one way for your private lessons. Your makeups can be done another way for the group classes. You can, the, the ways to set things up is endless, so you can make it tailored exactly right for your studio, which is a huge plus in my mind.

Park Butterworth: Opus1 has been a complete game changer for us here at Mason Music. We went from managing our leads, our customers, our teachers’ experience in multiple softwares, multiple systems and spreadsheets to one single system, which is Opus. Our prospects populate directly from our Opus hosted intake form. Right into our Opus Prospect pipeline, allowing us to follow up with them very intentionally, individually, and even automatically through their automated campaigns. Overall, I would say we have more control over the quality of the student, customer, teacher, and ultimately the administrative or operations experience of just running the business. Park Butterworth: If you’re thinking about making the change to Opus, you absolutely should. There’s no time like the present. Sure, changing systems, changing softwares is a massive undertaking. There’s no two ways around that. This challenge often gets more difficult as you grow. So there’s no time like the present. Ask yourself if you would rather deal with the short-term pain of making that migration to the Opus platform or dealing with the long-term consistent pain of continuing to encounter the same headaches, the same challenges, the same empty promises that your current software system gives you. It is worth it. Take the plunge. Here are my words. Opus offers a white glove implementation. They’re going to guide you and your leadership team, your operations team through the process. They’ll help you set up your settings, move your customer information, add your teaching staff, help you migrate your your backend payment processing, so much more. They were even open to our team’s feedback about the migration process and are constantly working to improve that and the software. Ultimately, I would say that Opus is a software specifically designed for music schools. This means they understand your challenges, they understand your customers, they know who you’re serving. They know the people that work for you, your employees. You’re not having to mold or craft a more generalized scheduling software solution to your needs and deal with all the headaches that that provides. So with Opus, you’re not just another subscriber, another transaction on their books, you and your business are a valued partner helping serve one another as both of you grow.

What did you use before Opus1 and what’s better about Opus1?

Park Butterworth: Prior to using Opus One, we used a plethora of different software systems. Our business originally launched simply using Google Calendar, Google Workspace, and Square for scheduling and billing. Around 6 years after the business launch, we did transition to using Teacher Zone. Teacher Zone truly was a significant step forward in our ability to lead and manage our business. It brought a lot of different features to the table that were very impactful for us. However, as a music school with 5 locations here in our local market and growing, we found many of Teacher Zone’s frustrations and, and limitations very frustrating. The limitations, the lack of fidelity and reporting, the duplicative management of our staff across different teaching locations, um, it’s very, very challenging, and all these changes spurred us to make a change in the spring of 2024. Simply put, Opus is just better in every single way. I mean, from the speed of the software, the nuance, the level of control we can have over the granular micro details of the system, it’s just super impactful. Sure, Opus has limitations. There’s no way to sugarcoat that, but I’ve seen countless times just in the past year where the barriers that we’ve encountered, or issues that we’ve encountered within Opus1 have been addressed by their team. We have been consistently solicited for our feedback on their system, and we’ve seen that feedback implemented into the software. And in my perspective, that feedback loop builds so much trust between our business and Opus1. It truly feels exciting to be a part of the Opus ecosystem at this time and watch both of our businesses grow together. Um, it genuinely feels like the, like Opus continues to grow and adapt to meet our ever-changing needs as a unique business and I know they’re going to do the same for you.

Describe how Opus1 has helped you better manage and grow your school?

Marlayna Goosby: Opus1 was a really um important decision that we made for our community music school. Um we used another platform when we first got started, and it worked for what it needed to, um, but I was ready for more automation. I was ready um to be able to do automatic billing, um, campaigns through emails. I was ready to do text messaging coming through our system. we were really big on makeup lessons, and so being able to program those in Opus1.io and have them pretty much run themselves with parents being able to book their own makeup lessons, cancel their own lessons, that was really huge for us, and it took a lot of the manpower away from our admin team so that they can do other things. We are definitely one of the top competitors in our area because of the software that we use that is Opus1. I, um, and parents just love the ease of being able to schedule, reschedule, and cancel their lessons, and also being able to communicate with their teachers through the system as well. It’s just really awesome.

What would you tell someone who is thinking about trying Opus1?

Marlayna Goosby: If somebody was thinking about or talking about trying Opus1. I would wholeheartedly tell them to do it and not just get the the base subscription, but add on those um campaigns, add on those text messages, and specifically talking about the text messages, we kind of drugg our feet a little bit um because I was hemming and hawing over the price of adding text messages, but being able to text our customers or prospective customers has been a game changer. Being able to text our instructors has been a game changer. We get pretty frustrated when emails are being sent, not being opened, and then our customers and instructors are frustrated because they don’t know about the information because they haven’t checked their email. And so being in such a fast-paced society, doing text messages has changed the game. I talk about Opus1.io all the time. Um, the, um, the transfer of information from our last software system was not nearly as difficult as some of the users tried to make me believe. Um, we did that part ourselves. I love being able to have the opportunity to comb through our old system and our old data and get rid of the things that we didn’t need to bring over and I love the intuitiveness of Opus1 Everything just makes sense. Um, you may not know what the process is or what process you need to use the first time, but once you’re taught by the tech support team. It’s pretty intuitive. And speaking of the tech support team, I love those folks. Um, sometimes I ask really dumb questions because I’ve been working in Opus for hours and my eyes start to cross. I’m jumbling all the information, so I ask little silly questions. They’re still so thoughtful, helpful, and thorough with their answers. They’ve never made me feel like I was wasting their time. Um, and they, you know, if it takes a couple of days to get back with me, it’s not been one time that my question has fallen through the cracks when it’s taken a few days to get back with me. Super great tech support, super great customer service is definitely a 10 out of 10 that I would suggest for anybody that’s looking for a robust system to help grow their school.

What did you use before Opus1 and what’s better about Opus1?

Marlayna Goosby: The software I used before Opus1. I was Jackrabbit Music. Um, I don’t really remember where I got the idea to use that. It might have been another music school owner in some of the different states that I researched, um, so I used that, but it was, it’s designed for gyms like gymnastics or swimming. Um, companies and so it worked for what we needed it for initially as we first opened the school, but as we continue to grow, as I continued to learn more about the direction I was moving in, how I wanted to be a front runner when it comes to innovation and technology. In our community for the community music school, um, Opus1.io I was just exactly um what we needed, and in terms of what was better about it, um, being for first and foremost, it was the makeup lessons that were able to be scheduled and rescheduled and canceled. Um, the lessons that were able to be canceled, the number of hours our admin took trying to appease our parents when it came to, um, makeup lessons. That’s probably the most pivotal point when I determined, yes, we’re moving to Opus1.io I because it did that thing. Also being able to have multiple locations, um, our business model is a little bit different and not exactly what Opus1. I was set up for, but then being able to make exceptions to the number of locations that we have has been excellent, in allowing us to work our model, how we work it. They were very transparent in how they were able to make those exceptions, and I’ll be very sure to respect those as we continue to grow. But again, um, just being so intuitive, very easy to teach, very easy to learn. Um, the tech support modules, like the videos and everything has been incredible, so we don’t have to spend so much time on the chat with tech support. if we need to review some things, um, we’re able to do that through the video. So Opus One has been far above, what we use with Jackrabbit Class. Opus1 is for music school owners, and it does everything that I think that it needs to be done.

It’s almost back to school time for parents and educators across the country. Shelves are filling with supplies and teachers are enjoying their last days of freedom before the influx of lessons and classes hit in early August. While students remain blissfully unaware of the stress back-to-school puts on studio owners, you must prepare as much as possible for everything that could happen between now and the holiday season. For the best guide on increasing enrollment and gaining new students in the new school year, download our Back to School Guide. To prepare for those lessons to start, here is a checklist of everything we recommend:

  • Determine your class schedule with sizes, teacher assignments, and what equipment you may need to purchase. Then, assign classes to teachers in your opus1 portal so teachers can upload curriculum, supply lists, and any necessary announcements for each class

  • Determine what private lessons you will offer, then set your own lesson schedule and upload it to your teacher profile in your opus1 portal. Each of your teachers that offer private lessons should do the same

  • Arrange classrooms and assign classes/lessons to the appropriate room

  • Decorate your front office or entrance for back-to-school time. Get students excited from the moment they walk in your door!

  • Is this your first year in a new location? Check with your local government to make sure you have all health, safety, and fire code signage prominently displayed in your classrooms
  • Compile a shopping list

  • Print business cards – students made new friends over the summer and have new classmates this school year. This is a great opportunity for the parents of your current students to refer new students

  • Create a referral program (if you don’t already have one)! Encourage parents to refer new families by providing an incentive program for referrals

  • Write your welcome letter. This can be sent via automated email or SMS in your opus1 portal and should include all of the “what to expect” items for their first day of lessons

  • Create your enrollment package. Permissions, legal documents, student info, parent contact info, emergency documentation, and a photo of the child can all be required info on your enrollment package in your opus1 portal. When a parent visits the portal to register their student, you can make completion of all of this information required before they are able to complete the enrollment

  • Turn on automated payment reminders in your opus1 portal. This will automatically send a payment reminder to everyone who is already enrolled in your studio and remind them to make their payment prior to the first day of school. Everyone who enrolls later will be automatically enrolled in payment reminders once you activate this convenient feature

  • Make your copies, scan your documents, and organize everything in folders – don’t wait until the last minute to prepare your documents!

  • Determine your recital/event schedule for the year. The more notice you give parents, the better! Our Recital/Event Management Module will help you plan, announce, and prepare for your events with less paperwork and stress – even generating your event program in one easy click!

  • Write your newsletters, social posts, and any marketing materials you know you will need in the coming months.
